UK Sole Trader Invoice FAQ
Everything UK sole traders need to know about invoicing — HMRC requirements, VAT, UTR, and payment terms.
An HMRC-compliant sole trader invoice must include: your full name and business name, your business address, a unique invoice number, the invoice date, your client's name and address, a description of services, the amount (excluding VAT if VAT-registered), VAT amount and rate, and the total. If VAT-registered, your VAT registration number must also appear. If not VAT-registered, no VAT field is required.
HMRC does not legally require your Unique Taxpayer Reference (UTR) on invoices, but many accountants and clients request it. It is good practice to include it, especially for self-assessment purposes. InvoicesNest lets you add it in the business details or notes field.
No — you only charge VAT if your taxable turnover exceeds the VAT threshold (£90,000 in 2024/25). Below this, you do not need to add VAT to your sole trader invoices. Once VAT-registered, you must include a VAT number and charge the correct rate (20%, 5%, or 0%).

Absolutely. No account required. Open the invoice generator, fill in your UK sole trader details, and download your professional PDF instantly.
Standard UK payment terms for sole traders are 30 days (Net 30). Smaller freelancers often use 14 days or payment on delivery. You can also charge late payment interest under the Late Payment of Commercial Debts Act 1998 — 8% above Bank of England base rate.
Yes. If you are not VAT-registered, simply do not add any tax rate to your invoice. Our template supports both VAT and no-VAT invoices — just leave the tax field blank or at 0%.
Yes. InvoicesNest supports 150+ currencies. You can bill EU, US, or global clients in EUR, USD, or any currency — even if you are a UK sole trader.
There is no legal difference in the UK. A sole trader is a business structure (self-employed), and a freelancer is a type of work arrangement. Both use the same invoice format under UK law. The key requirements are the same: your name, address, UTR or VAT number (if applicable), invoice number, date, services description, and totals.
